My step-by-step process for documenting systems ⬇️

My process for for documenting new and old system is pretty robust. Not all steps are needed for every system, but here’s an overview of my process:

1️⃣ First, I free write about the system, braindump all of my notes, review the old system if I’m working from something already created and come up with ideas of new things I want to add.

2️⃣ Then, I give myself a definite amount of time for researching, playing with different tools and making a decision on the tech stack for each system.

3️⃣ Next, I’m ready to create my loose outline of the step by step process. This is by no means close to what it ends up as but it’s just a really good place to see the entire flow of the system.

4️⃣ During that loose outline phase, I also identify the “extras” I need to have for the system - these are things like email templates, swipe copy, prompts, image templates, other templates. This is the most time consuming part of the process and it varies great from system to system.

5️⃣ The one thing that helps is acknowledging that these systems are never 100% done and so I’m not pressured to have everything perfect and everything thought of right away.

All I aim to do is identify the most used parts of the process and create tools for those parts that are going to save me and my team time right away.

6️⃣ Finally, I’m ready to set up my system, add in all the links.

7️⃣ I like to then test it at least 5 times and add notes everytime on things I’d like to add or changes I’d like to make.

8️⃣ After I’ve tested it 5 times, I finalize the system, add any of those tried and tested additions and record a walkthrough using Loom or Zoom.

Have you tried the “in the margins” method? 🤯

This one is my favourite content project productivity hacks because it’s the least intrusive to whatever else you’re working on. So if you’re a busy business owner with a lot of different things on your plate like client work, big deliverables or family stuff, this is the perfect way to sneak in progress on your content projects.

Here’s how it works:

Step 1: Take the content project you’re working on and break it into specific pieces of content.

Step 2: Assign pieces of content to each workday (usually 1 per day but you could do more as you get quicker)

Step 3: For each piece of content you need to create, come up with an outline that includes 5-8 sections or questions you need to answer

Step 4: Review your to-do list for the day (or your Pomodoro list for the day) and add a 5 minute break after each one for your margin writing

Step 5: Complete the first item or Pomodoro on your to-do list and then follow that up with 5 minutes of writing. The goal is to complete 1 section per writing break.

Then by the end of the day, not only do you have your to-do list done but you also have 1 or more pieces of content written too.

You wouldn’t believe how much content I get created each week just using this margin hack.

This year has been a bit different than others. I’ve been much more focused on ROUTINES over ONE-OFF PROJECTS.

The way I reach my goals used to be all about projects and to do lists. But I wasn’t thrilled with the work-life balance that cornered me into. And so I chose instead to commit to recurring actions (à la routines) and to track those in my little by little pursuit of my goals instead.

And I have to tell you, this won’t be the last year I take this approach.

One area I noticed needed some major TLC and attention was my operations. Through back-to-back project sprints and aggressive growth, things had become, for lack of a better word, messy. So much had changed in how I do things from the tools I use, to the processes I follow, the best practices that are working now, to the strategies I’m running, and I did a less than stellar job at keeping my systems up to date.

So instead of turning “systems” into an all or nothing project sprint, I decided to tackle it the same way I’m tackling most things this year - through a routine.

Every week, I picked one system to build out and focus on. I started on a Sunday (hereby known as SOP Sunday) and kept picking away at it until the following Friday. Some took a lot more work, while others were pretty easy updates.

Buying complete “done-for-you” systems is kind of a waste of time 👀

There’ve been at least 5 instances where I’ve brought in a systems expert to design workflows for my business and every time, I’ve found the systems to completely unusable. And not for the reason you might think…

It’s not because they were bad or set up incorrectly, but that I took a passive approach to them and couldn’t integrate myself and my brain into them properly.

I’ve had some success with partially done-for-you systems that gave me a headstart but still required my involvement in the design and set up. And any team member I’ve hired has always been encouraged to make our systems their own (what do I care as long as the outcome is consistent).

So it should come as no surprise that I’m very opposed to people being sold this idea that someone elses’ system is going to work for them right out of the box. For most systems (unless they’re super super simple) the person working the system best be involved in the process of creating them.

For the past 4 months, I’ve overhauled 17 systems and workflows in my business. In this video, I’m sharing exactly what those systems are and how I designed my systems sprint.

It might not work for you the exact way I did it (I hope it doesn’t) but hopefully it gives you some inspiration on what to document next for more ease.

I used to hate membership models.

Back in 2019, I was even interviewed on @clairepells The Get Paid Podcast and the title of the episode was “We Hate Membership Sites.”

My tune has changed since then. I’m not on the “everyone should have a membership” train but I do think they work for a lot of businesses and many business owners.

The risk with a membership is getting overwhelmed. You already have to create content to market your business and grow your visibility, now you have to create content for inside the membership and to also market the membership to get new members too? It’s a big commitment.

Since that premature declaration 5 years ago, I’ve worked with a lot of membership owners (I’ve even launched a quasi membership of my own with the Content Habit App) and through that work have developed a monthly membership content system that helps make membership content more sustainable.
